Start with a trustworthy foundation

  1. Enter the scheme identity, financial year and a committee contact that owners can actually reach.
  2. Add each lot from a reviewed strata-roll source and check unit entitlements before issuing anything. For an existing roll, download a fresh private versioned CSV and review every proposed change before appending it.
  3. Invite committee users individually. Do not share sign-in links, browser sessions or email accounts.
  4. Record bank accounts and opening fund positions from retained bank or accounting evidence.
  5. Open Readiness and resolve its evidence gaps before relying on reports or notices.

A simple monthly routine

  1. Upload invoices and receipts before recording or paying an expense.
  2. Import the bank statement, review proposed matches and leave uncertain transactions unmatched.
  3. Record other income and transfers with their supporting source.
  4. Review fund cash, levy balances, unpaid expenses and reconciliation differences.
  5. Export a scheme archive and place a verified backup outside the computer running StrataTally.

Keep evidence, not just totals

  • Use Documents for source files and connect evidence to the record it supports.
  • Use Activity to review who changed, issued, matched, voided or exported a record.
  • Use Period close only after a committee member, treasurer or accountant has reviewed the working papers.
  • Correct retained records through a supported void, reversal or release workflow; never edit the database directly.
  • Use the records-request workflow when a member needs a deliberately selected, reviewable document pack.

Account and privacy safety

  • Opening a sign-in email link only shows a confirmation page; it does not itself sign you in. Continue only if you requested it, otherwise close the page and do not forward the email.
  • Review Account security for unfamiliar sessions and revoke anything you do not recognise.
  • Suspend or remove scheme access when a committee member no longer needs it; retained history remains.
  • Put only necessary personal information in records, filenames, notes and support messages.
  • Never paste passwords, magic links, session cookies, private keys, full bank credentials or database copies into support.

What support does today

Signed-in users can open a requester-only support record, add information and reopen a resolved request. Separately authorised StrataTally support administrators can reply, resolve it and retain internal operational notes. Other members of the same scheme cannot read it.

Replies currently appear only inside StrataTally: no email is sent automatically. The inbox is not represented as continuously monitored and there is not yet a public live-status service or emergency response channel.
